We at HiView are pleased to share the latest and greatest updates to Google Workspace (formerly G Suite). From a helpful new API for Forms to appointment scheduling for Calendar, today’s Workspace Roundup includes wide variety of updates. These changes affect all account holders, so we encourage all Google Workspace users and Admins to read on.

 

Google Forms API

Available to all users, the Google Forms API provides programmatic access to manage Forms and receive responses, supporting the development of powerful integrations. For example, it can be used to create real-time dashboards, trigger business workflows, and automatically generate forms from data sets such as question banks.

 

Some use cases for the API include:

  • Creating and modifying forms or quizzes
  • Retrieving form responses or quiz grades
  • Reading form content and metadata
  • Receiving push notifications for form or quiz responses or form structure updates

Expanded Access Management Controls for information governance

Google Workspace Assured Controls (a paid add-on for Workspace) helps organizations comply with information governance requirements. The regulations covered now include the Criminal Justice Information Services (CJIS) standard and the IRS’ Publication 1075 (IRS 1075). These requirements limit the amount of access cloud service providers have to organizational data, and are most commonly impact public-sector organizations. Invite members via link to join your Google Chat space

Users of all paid Google Workspace and G Suite editions can now invite members of their organizations to join a Chat space via link. Upon a Space’s creation, the creator must enable it to be shareable (this feature does not apply to already existing spaces).

 

For spaces with this feature enabled, click the drop-down menu at the top, and select Copy link to this space. From there, share the link with any members of your organization.

 

Note: Enabling this feature will not allow any non-internal users to join Spaces.

 

Appointment scheduling in Google Calendar

Google Calendar has a new native feature allowing users to facilitate appointment booking. Building on the appointment slot feature, this was developed with external users in mind. For example, a consultant could use the feature to book consultations, or a spa could use it to book appointments. Even external users without a Google account can make use of this feature.

 

Appointment scheduling for Calendar is available with all Google Workspace and Education editions except for Google Workspace Essentials, Business Starter, Frontline, and legacy G Suite editions. For help with setting up your appointment booking, see this article.

 

Meet Admin controls expanded

All Workspace Admins can now control the following Google Meet features for their organization:

  • Chat
  • Present
  • Q&A
  • Polls

 

This is intended to take some of the burden to configure certain controls off of meeting hosts, particularly in larger meetings where attendee screensharing, presenting, or other activities may not be ideal. To configure settings for who can use these features in Meet, Admins can navigate to Apps > Google Workspace > Google Meet > Meet safety settings.
