ToggleAt HiView, we hear far too often that Workspace customers know they are overpaying for their licenses yet are unaware of how to fix the problem. Many times our customers state that they have more licenses than actual employees or are paying for features that they will never use.
As a Premier Google Partner and Reseller, part of the value we provide to businesses using Workspace is ensuring customers are aware of all of the options that are available to them as a Google customer. We have found time and time again that the 3 options below can help customers optimize costs as they continue to leverage Workspace as they grow.
Archive Licenses
A common question we get asked is what to do when employees leave the company and licenses are no longer needed. Archive licenses can be used for this exact purpose and are priced at a fraction of the cost of a regular Workspace license.
If you have purchased Archive licenses, when a user is no longer needed you can simply assign an Archive license in place of the Workspace license in the Admin Console. This will retain the prior user’s data while allowing you to pay a lower price for users who no longer need an active inbox. This also frees up the Workspace license previously assigned to the user for the next person you hire.
Frontline Standard & Frontline Starter SKUs
Many companies we speak with have a mix of full time employees and contract workers or individuals who only need a minimal set of features for their roles. Oftentimes these customers are paying for a higher tier such as Enterprise Standard for all of their users so they can have access to security features they need to protect their data. This can lead to a higher bill for licenses and an amount of storage that may never get used. This is where Frontline SKUs can be extremely helpful.
Frontline Starter and Standard are two Workspace SKUs intended for frontline workers who only need a small amount of storage. Each SKU comes with 5 GB of storage for the user and comes at a lower price point than other Workspace plans. Frontline Standard also includes access to some Enterprise features so that customers can monitor and set policies for users, and retain data for all users in their account. Moreover, having a mix of Enterprise and Frontline users can assist with optimizing costs while keeping your data secure for all employees.
Google Groups
Most customers are paying for shared inboxes for their company to manage a mailbox with multiple members (i.e. sales@, info@, etc.). We frequently see customers who are paying for a Workspace license for each of these inboxes which can add up quickly over time.
Google Groups can be used for shared mailboxes in your Workspace account and do not require a license. That’s right – Google Groups are free to create and do not add costs to your Workspace plan. We help customers reduce their bill by leveraging Google Groups for this purpose and can even handle the migration of data into a Group when needed.
